To help our school run smoothly and keep it awesome, it takes a little teamwork from everyone. Below are descriptions of the parent jobs and board positions available each year.
We are actively seeking board members for the 2022-23 school year! This is a wonderful way to support our organization, ensure its sustainability and longevity, effect positive change, strengthen existing skills, build new skills, and expand your community involvement. The cooperative requires committed board members who believe in the organization and are willing to serve on its behalf – without them, it would cease to exist – please consider joining in 2022-23. Note that most board positions are filled the previous spring since we meet monthly throughout the summer.
Non-Board Positions
Class Fundraiser Reps
One for each class. Work with the other Fundraiser Reps to plan and run a fundraiser. Emeralds, and Diamonds will have their fundraiser in February; Rubies and Sapphires will have theirs in March. Advertise your fundraiser to all classes, and work with the Vice Chair as needed.
Class Basket Coordinators
One for each class. Plan with your class to create a themed basket to raffle at the spring fundraiser in May. Each class member should donate/contribute something. Provide a photo and basket description for advertising purposes. Work with the Vice Chair and Spring Fundraising Committee as needed.
Class Hospitality Coordinators
One hospitality parent for each class. In charge of acclimating new families throughout the year, sending greeting cards for major life events, setting up a meal plan for a family if warranted, and coordinating a gift for the teacher during teacher appreciation week.
Class Memory Books
One memory book parent for each class. Take and collect photos of your class throughout the year and put together a digital scrapbook using photos collected (Shutterfly works well). Advise parents of pricing and deadlines. Deliver completed books to parents who ordered, plus one as a gift for the class teacher.
Class Teacher Helpers
One helper for each class except Pearls and Rubies. Work with teacher to plan and coordinate field trips throughout the year, then send thank you notes as applicable. Additional responsibilities may include planning classroom cooking projects or coordinating “special days.”
General Contractor
As requested by the teachers, hang shelves, secure cabinets, build simple structures or projects for the school, etc. Fix indoor toys as needed. Must have own tools. With approval, purchase supplies as needed and submit receipts for reimbursement.
Playground Maintenance
Keep tabs on the health of the outdoor playground. Ensure all toys and structures are maintained, repaired, replaced, or removed as needed. Set up a committee if needed for any bigger projects that may arise. With approval, purchase materials to keep playground in good shape and submit receipts for reimbursement.
Gardener
Plan and maintain the three playground gardens. Coordinate with teachers to have each class participate in planting bulbs, veggies, etc. twice a year.
Online Auction Committee Members
Assist the Chair and Vice Chair in planning and organizing the annual online auction, which includes procuring donations, promoting the event on various social media platforms, making sure auction site is uploaded with all relevant information (including auction item photos and details), ensuring payment transactions are smooth, and that all transactional information is relayed to our treasurer in an accurate and timely fashion.
Monthly Cleaning Coordinator
Remind classes when it is their month to clean. Ensure someone with a key will be available to open and lock up church on designated cleaning nights. Review the monthly cleaning sign-ins to track participants.
Spring Cleaning Coordinator
Set a spring date for a Saturday cleaning of the playground and outdoor common areas at the church. Recruit families to participate in lieu of a monthly cleaning requirement. Work with church maintenance committee and/or Blossoming Hill Montessori to determine which areas need cleaning, new wood chips, more sand, etc.
Laundry Angels
The school has two Laundry Angels, both in the Sapphire class. These parents will alternate weeks, months, or semesters taking all dirty towels and washable items from the basket in the bathroom each Friday. Clean and folded items are returned to the towel cabinet each Monday.
Storage Room Organizers
Organize and maintain the school’s supply room and closets. Help keep tabs on supply inventory. Communicate with teachers and Supply Coordinator for purchases when necessary.
Supply Coordinator
You are the main purchaser of all sort of supplies for the preschool, such as paper towels, sanitizers, etc. Having a Costco membership and credit card are preferred. Regularly work with teachers and supply room organizers to create a shopping list. Submit receipts and forms with prior teacher or Chair approval for reimbursement.
Health and Safety Coordinator
Ensure first aid kits and emergency can are stocked properly. Keep eyes open for safety hazards that may cause injury to children or parents. Stay up to date on any sanitary needs or changes via the Department of Health website. Ensure HIPAA-compliant lockbox is being used to store sensitive medical forms for each child.
Librarian
Maintain an inventory on all books in our school library. Create and advertise a “check out” process so families can borrow/return books. Browse Scholastic book offerings, library book sales, and school book fairs for age-appropriate books to add to our collection (obtain teacher permission before ordering).
Scholastic Book Coordinator
Compile Scholastic book order fliers and place in each parent folder. Remind families about ordering deadlines. Place orders for parents who don’t want to order online. Sort delivered books by family.
Playdough Coordinator
One for each class. Work with teachers and registrar to ensure classroom playdough is replaced at regular intervals, and there is enough playdough for recruiting events. Enlist parents to make new dough or create some yourself. Keep tabs on cooking supplies and advise Supply Coordinator when running low.
Treasurer’s Assistant
Shadow the school’s treasurer to learn how to perform the treasurer job in the even the treasurer is unable to perform the job duties. This job is for someone willing to be the treasurer once the current treasurer steps down. Learn all procedures and financial policies of the school and assist the treasurer as needed.
Winter Social/Potluck Coordinator
Coordinate a potluck meal at the school in December. Plan an evening that will be fun or entertaining. Recruit volunteers if needed for set up and clean up.
End-of-Year BBQ Coordinator
Plan and organize the year-end barbecue for all families. Reserve space at a local park if necessary. Recruit volunteers to assist in set-up and tear down if needed. Work with Supply Coordinator to acquire any needed food and picnic-ware. Plan fun activities or simple crafts for families to do together. Ensure venue is cleaned up before leaving.
Maple Valley Days Parade Assistant
This job is worked in May/June in cooperation with our registrar. Responsibilities include recruiting families to participate in the parade, creating a theme/decorations/banners/signs/etc. to help TCP stand out, and scheduling volunteers to work our school booth at Maple Valley Days.
School Board Positions
School board members have voting rights and are required to participate in board meetings on the third Thursday of each month from 6:30-8:30pm.
Chair
Attend and run each board meeting. Vote only in the event of a tie. Oversee the operation of the preschool. Collaborate with GRCC parent educators and church personnel. Address parent and teacher concerns. Mediate in the event of a conflict. Create ad hoc committees for things such as: fall orientation, all-school meetings, creating a school calendar, parent job list/descriptions, handbook updates, and other administrative needs. Be available by phone and email for questions or concerns. This position is a check signer.
Vice-Chair
Run board meetings in the Chair’s absence. Plan all fundraisers for the school during the school year. Communicate with Treasurer and Chair as needed for invoice information. Work with Webmaster as needed to advertise upcoming fundraisers, special events, deadlines, etc. on social media and website. Assist Class Fundraiser Reps and Class Basket Coordinators with their projects. Head the spring fundraiser and organize a committee as needed to ensure a successful event.
Registrar/Co-Registrar
Organize and lead all recruiting events throughout the year, such as preschool fairs, open houses, Maple Valley Days, and Kids Fest. Recruit helpers and schedule teachers for events. Maintain student records and ensure receipt of all required forms for enrollment and registration. Send out welcome packets and review the handbook at Fall Orientation. Ensure medical information is properly stored in the HIPAA-compliant lock box at school. This position runs January to December. Identify and train your replacement in October or November. New registrar is voted in at the Winter Social.
Secretary
Take minutes at each board and all-school meeting. Type minutes and disseminate appropriately. Serve all notices as required by law (annual report to Secretary of State). Ensure proper storage of organizational documents such as the Articles of Incorporation, 501(c)(3) status, etc.
Treasurer
Using QuickBooks financial software, the treasurer will:
•Create invoices for each student regarding tuition and other fees.
•Record all transactions of the school.
•Pay all bills and properly submitted reimbursement forms.
•Create monthly financial reports for the board to be voted on and approved.
•Be the main contact person for our bank and be a check signer.
•Organize and lead a budget committee in January/February
•Train the Treasurer’s Assistant
Marketing/Communications Representative
Create and disseminate a monthly newsletter for current AND alumni families using the school using Publisher or other program. Communicate with board members and teachers for topic ideas, deadlines, and special articles to be written. Newsletter should be published in electronic format and emailed to subscribers. Maintain school’s website using Google Sites and maintain our presence on social media (Facebook, Instagram Twitter, etc.) Work in conjunction with teachers and the board to keep information up to date. Add/maintain user accounts, distribution lists, and school calendar.
Class Representatives
One for each class. Act as a liaison between your class, the teacher, and the board. Provide your class with board meeting highlights. Create and maintain the parent sign-ups for classroom helpers, snack parent, and special days.
